HAYFIELD MANAGEMENT MINUTES: TUESDAY 23rd AUGUST 2011

MINUTES OF LAST MEETING
Approved.
1st XI
SF reported that he has recruited an additional two players (reducing the need to call on the 2nd XI) and that the 1st XI has had a good run of results, reaching 4th in the league. Morale is good, with a core of 15 or so players showing good commitment and SF hopes to push for honours next season.
TREASURER'S REPORT
In the absence of the Treasurer, EY presented a brief summary of the club's financial position. Income to date this season is £20,413, expenditure £24,505. The current overdraft is £4630 as at 23/08/11, with £700 worth of alcohol in stock, and £500 from Duck Race tickets (but lots still to sell) and £300 Pavilion Hire not yet banked.
COACHING
With Paul Taylor's retirement*, HD and BH have been tasked with rethinking the club's approach to junior coaching. Huw and Bill propose to engage DCB Coaches for Thursday-night outdoor practices for 14 weeks in April-July and indoor practices for 12 weeks from January-March at Chapel-en-le-Frith Leisure Centre (both aimed at older juniors between 10 and 15/16). The cost of this coaching will be around £1200, plus venue hire for the winter sessions. Winter sessions will ideally take place on Tuesday nights to avoid clashing with New Mills FC practices and Champions League matches, etc. BH to book Chapel Leisure Centre a.s.a.p.
In addition, a new coach is to be sought for individual or small-group skills sessions for promising juniors of any age on Saturday mornings during the season, at the same time as the younger juniors (6-9) continue with their Saturday-morning practices as before. The need to practice all facets of the game was stressed, and it was suggested that badly co-ordinated net sessions are ineffective (especially as some juniors tend to disappear without bowling for others once they have batted in the nets).
SF proposes collaborating with other local clubs (including Compstall and Hawk Green) to share winter nets for seniors.
(*EY has written to Paul Taylor inviting him to attend the Comedy Night in November, at which he will be presented with Honorary Life Membership of the Club.)
FUNDRAISING
Men's 6-a-side Competition, Monday 29th August
SW has kindly agreed to co-ordinate this event, to be held this Bank Holiday Monday from 1pm. At least 8 (and possibly as many as 10) teams are likely to take part. The Duck Race has been postponed until the rearranged Open Day on 11th September.
SF is to provide two banners, as for the Ladies 6-a-side, which SW will install.
Although the Club has approximately £700-worth of drinks in stock, in view of the reasonable weather forecast, the number of teams taking part and the likely interest, it was decided to invest a further £200 on drinks to be sold on the day, although PH expressed concern about overstocking and storage. PH/EY/BH/Steve Famer to liaise over funding and purchase of additional supplies (plus serviettes, burger rolls and sauces).
Graham Clarke from the Kinder Lodge has agreed to provide and staff the barbecue; food supplies are in hand.
EY and SW to move the fridge into the kitchen on Saturday evening, switch it on and fill it with beer.
SW has arranged umpires, commentators and music. DD agreed to help with scoring. The whereabouts of the trophy is unknown (it was thought to have been last won by the Kinder Lodge or the Bulls Head); if SW cannot retrieve it he will purchase a replacement.
Painting Raffle
Raffle tickets have been printed and the winner will be announced at the Comedy Night on 11th November. The painting is currently on display in the Pavilion, and will also be exhibited at the Sheepdog Trials. Other suggested locations where it might be temporarily shown include the Royal, the antique shop and the Skillet. Tickets are priced at £10, which some felt to be excessive, but EY stressed that the painting was worth £1200. EY to produce colour flyers with an image of the painting to be distributed on demand and posted in local establishments, and to contact local press as necessary after the 6-a-side and Open Day. It was suggested that raffle tickets could be sold, perhaps at a reduced price, at the Comedy Night before the draw.
Open Day, 11th September
PH reported that he has booked the band Two Trick Pony, who performed at last year's event. The plastic ducks (borrowed from Old Glossop for the Duck Race that was to have been held on 17th July) have been returned and will need to be collected again.
ANY OTHER BUSINESS
TR and PH intend to remove the internal cladding of the roof to investigate continuing leaks. TR reported that the roof joists are in poor condition and require attention.
EY and BH will attend the League Meeting on 12th September, at which proposals to return to an U17 setup will be discussed.
The AGM will be held in February.

TREASURER’S REPORT
With income from Membership Plus
(c.£640 so far) and Sponsorship (c. £2000) largely received, and expenditure
on printing, ground and pavilion, the Club's overdraft is still around £2000.
A discussion on winter nets
followed. Although the sessions make a significant loss, BH stressed that these
practices are a necessary investment toward the Club's future playing success
and has helped several juniors to develop into valuable senior players in the
past. Ideas for improving attendance/revenue and effectiveness were discussed:
1st XI players could help with coaching; the sessions could start later in the
closed season, perhaps in January/February (as the present autumn start
coincides with the peak in enthusiasm for football at the start of the football
season). The Monday-night nets currently clash with New Mills FC junior
practices, but TR believes these may change to a different night, so will
monitor developments and advise before we make a decision to move the nets to
another night (BH advised that sessions for winter 2011/12 need to be booked by
about July).
JUNIOR MATTERS
IW and BH noted that they are
largely unable to chase outstanding Membership Plus renewals until they know
which parents already qualify for Membership Plus via the offer available to
parents of signed-up Juniors. TM to communicate the names of parents who have
paid their £20 discounted membership fee. DD/TM/BH/IW to liaise.
SENIOR MATTERS
1st XI captain Shane Furness
expressed satisfaction with the opening results of the season so far and passed
on the players' thanks to Committee for the visible improvements to the ground
and facilities. The 2nd XI has had a less successful start and recruiting a full
competitive XI remains a problem. BH suggested that able juniors should be
"blooded" to gain senior match experience, though PC expressed concern
that some juniors might not have the stamina and concentration to play longer
matches.
DD clarified League requirements
regarding Umpire Assessment Forms and encouraged the captains to use the Club's
Facebook page as an additional and alternative means of communicating with the
players.
LADIES SECTION
The Womens' XI has agreed to
continue competing in the Derbyshire League this season, with the promise of
assistance and loan players from other teams. Practices start this Friday.
FUNDRAISING
Ladies 6-a-side, Sunday 19th June
LY is recruiting teams. PC to ask Peter Easter and Simon Waddington to provide PA and commentary. BH will organise the bar; HD to recruit bar help.
PH suggested seeking sponsorship
for the event; suggestions to EY. SF's company may be able to provide
advertising banners at low or no cost; EY/PH/TR/SF to liaise.
Open Day & Duck Race, Sunday 17th July
TR/PH/BH/PC/Chris Heard and others
to form a Subcommittee to continue with further arrangements. Duck Race tickets
have been printed. PC to notify funfair contact. Live music was discussed, with
some feeling it was perhaps unnecessary during the day, but that it might be
more appropriate later on if the event was intended to continue during the
evening for adults. Subcommittee to discuss and decide.
Sponsorship
PH has compiled match and ball
sponsors for May's matches (PH to email details to Committee members, and PH/EY/Mike
Blake to liaise re publicising sponsors on the website).
Membership Plus
BH suggested that IW produce a
printed list of Membership Plus members (past and present) and their current
membership status, to be posted in the Pavilion to prompt additional renewals.
TR suggested recruiting Membership Plus members at the 6-a-side and Fun Day.
Wider publicity for Prize Draw winners (Facebook, Website) was suggested to
promote the advantages of membership.
Raffle/Football Cards
PH suggested organising a raffle or
football card for fund-raising at well-attended matches; a raffle was felt to be
more likely to succeed. BH suggested obtaining a stock of wine/spirits etc. as
prizes when purchasing for other upcoming events, which could be stored with the
raffle tickets in the Pavilion for use at short notice when attendances warrant
it. PH to co-ordinate prizes and buy raffle tickets.
GROUND AND PAVILION
BH requested Junior captains, 3rd
XI and Ladies to sort out kit stored in the Pavilion. PH to set out kit for
sale/disposal on Saturday mornings.
BH also reported that the front of
the Pavilion needs professional preparation and painting; TR to quote along with
roof works.
ANY OTHER BUSINESS
Sponsors' banners are being
replaced.
